inventory/stock-items
Mark the units that came back as returned on the orders they were out on, without opening each order: scan them, then choose Return from orders. Stock item state explains what a return changes on the unit and on its orders.

Prerequisites

Required permissions:
  • Create and edit orders to return units (orders:order_summary:manage).
  • Move orders to any state to close the orders a return finishes, where your orders move with a button (orders:order_state:manage).
Every built-in role holds both, Member included. See Users & Roles.
Have ready before you start:
  • The units that came back, with their codes on them, and a barcode scanner. Or tick their rows on Inventory → Stock items instead, which carries the same More.

The walkthrough

1

Scan the units that came back

Scan the code on each unit the customer brought back, from any page except an order. The units collect in the Scanned items drawer at the bottom of the screen, every row ticked. Untick any unit that is not part of this return. Scan stock items covers counting units that share a code.
2

Choose Return from orders

Click More in the drawer’s header and choose Return from orders. A dialog opens on the first question that applies to your units. When there is nothing to ask, the units are returned at once, and a notice such as 3 items returned confirms it.
3

Pick the orders a shared code came back from

Skip this step unless the dialog asks “Which orders did these units come back from?” It does when more units of a stock item with identical units are out than you scanned. Tick the order each scanned unit came back from, until the line under it reads, for example, 1 of 1 assigned. Click Next.
4

Choose what else comes back

Check the step’s title, for example Return 2 units. If it asks “Also return other items still out on these orders?”, the answer starts at “Return all items from the scanned customers”. Choose “Return only the scanned items” when the customer still has the rest. Click Next if the dialog offers it.
5

Decide where the finished orders go

If the next step asks “Close the 2 orders that have all of their items returned?”, leave Change order state to ticked to move them to the Order state shown, your first closed state unless you pick another. Untick it to leave the orders where they are. A red notice counts any order its checks keep open.
6

Return the items

Click Return items at the bottom of the dialog. A notice such as 3 items returned confirms it, followed by 2 orders moved when orders were closed. The returned units leave the Scanned items drawer, and any unit the return skipped stays in it.

How do I know it worked?

  • A notice counts the items returned, and a second one the orders moved, if any.
  • The returned units leave the drawer. Units the return skipped stay in it, for another action.
  • On each order, the items show as returned, and an order with nothing left out has moved to the state you picked.

Troubleshooting / common pitfalls

A box such as 3 units are skipped lists why: already available, not handed out yet, in an internal reservation, on a subscription, back already, blocked or sold. A return takes only units out with a customer. Free a held unit with Make scanned items available.
Its checks block the move, so its items are returned and the order stays where it was. Fix what the check names, then move the order from its own page. See Order lifecycle settings.
More takes at most 200 units at a time, and hovering over it gives the reason. Untick rows until the ticked ones hold 200 units or fewer, and return the rest in a second pass. See Stock codes.
