inventory/stock-items
Prerequisites
Have ready before you start:
- The units, with their codes on them, and a barcode scanner. Or tick their rows on Inventory → Stock items instead, which carries the same More.
- A title, such as Yearly service, and any detail for the comment.
- When the units go out of use and when they are back, or the knowledge that the end is not known yet.
The walkthrough
1
Scan the units
Scan the code on each unit you are taking out of use, from any page except an order. The units collect in the Scanned items drawer at the bottom of the screen, every row ticked. Untick any unit that is not part of this reservation.
2
Choose Create reservation
Click More in the drawer’s header and choose Create reservation. A dialog opens titled, for example, Reserve 3 items, and reads “The same reservation is created on every selected item.”
3
Name the reservation
Enter a Title, for example Yearly service, and any detail in Comment. The title names the reservation on each stock item’s Events tab. The dialog reserves nothing without a title.
4
Check the location
Check Location, where the units are held while they are reserved. It starts at the location that stocks all of them. Pick one when it starts empty, as it does for units stocked at different locations. A notice under the field names any unit not stocked there, and that unit is left out.
5
Set the dates
Set Start date, which opens at now, and End date, when the units are back in use. If you do not know the end yet, tick No end date. The units then stay reserved until you edit or delete each reservation.
6
Reserve the units
Click Reserve at the bottom of the dialog. If the units have room over your dates, the dialog closes, a notice such as 3 items reserved confirms it, and the reserved units leave the drawer. If a unit has none, a confirmation opens first.
7
Confirm what the reservation takes over
If “Existing orders and reservations will be affected” opens, read the list: each row names a stock item and the order or reservation that loses it over your dates. To go ahead, tick “Please confirm you understand the impact” and click Add reservation. To keep them, click Cancel and change the dates.
How do I know it worked?
- A notice counts the units reserved, for example 3 items reserved, and they leave the drawer.
- Each stock item’s Events tab lists the reservation under your title, with its dates and location.
- Each order the confirmation listed shows Unavailable stock items until it has another unit. See Resolve a stock item conflict.
Troubleshooting / common pitfalls
A red notice says items could not be reserved
A red notice says items could not be reserved
It reads, for example, “2 items could not be reserved: no unit is free over these dates”. Every unit of their stock item is taken over your dates, so nothing was reserved for them and they stay in the drawer. Change the dates and reserve them again. See Reservation priority.
Location says none of these items are stocked there
Location says none of these items are stocked there
“None of these items are stocked at this location” means no scanned unit is stocked at that location on the start date. Pick the location that stocks them, or move them there first. See Move a stock item to another location.
A stock item shows several reservations with the same title
A stock item shows several reservations with the same title
Each unit gets a reservation of its own, so a stock item with identical units that you scanned three times shows three. Edit or delete each one on its own. See Delete a reservation.
