inventory/stock-items
Prerequisites
Have ready before you start:
- The units, with their codes on them, and a barcode scanner. Or tick their rows on Inventory → Stock items instead, which carries the same More.
- Units a customer brought back go through Return scanned items instead, which also closes the orders they finish.
The walkthrough
1
Scan the units
Scan the code on each unit you want back in available stock, from any page except an order. The units collect in the Scanned items drawer at the bottom of the screen, every row ticked. Untick any unit you mean to leave as it is.
2
Choose Make available
Click More in the drawer’s header and choose Make available. A dialog opens when there is something to decide or to tell you. Otherwise the units are freed at once, and a notice such as “3 items back in available stock” confirms it.
3
Pick what a shared code came from
Skip this step unless the dialog asks “Which orders or reservations do these units come from?” It does when more units of a stock item with identical units are held than you scanned. Tick the order or reservation each scanned unit came from. Units you leave unassigned count as already in stock. Click Next.
4
Read what happens to each unit
Read the lines under the title, for example Make 3 units available. Each line says what happens to a group of units, such as “1 unit will be marked returned” or “1 unit will be taken off its reservation”. The line under the title counts any units that stay as they are, such as sold ones.
5
Decide on items not handed out yet
If the step asks what should happen to items not handed out yet, choose one answer for them all: Assign another unit, “Leave the item without a unit”, which leaves a conflict on the order, “Mark this item as returned in that order”, or Skip to keep them where they are. The first is picked when a free unit exists.
6
Make the units available
Click Make available at the bottom of the dialog. A notice such as “3 items back in available stock” confirms it, and the freed units leave the drawer. If an order item found no free unit to move to, a second notice says so: open that order and assign it a unit.
How do I know it worked?
- A notice counts the items back in available stock.
- The freed units leave the drawer. Units it left as they were, such as sold ones or items you skipped, stay in it.
- The orders and reservations let the units go: each order item is marked returned, moved to another unit or left without one, as the dialog said, and each reservation no longer holds its unit.
Troubleshooting / common pitfalls
The notice says nothing holds these items
The notice says nothing holds these items
It reads “Nothing holds these items”: no order, reservation or buffer time holds the units, so nothing changed and they stay in the drawer. To find out why a listing still will not offer them, see Check availability.
A red box says you do not have permission
A red box says you do not have permission
Some units are held by an order and your role cannot edit orders, or by a reservation and your role cannot delete stock items, so Make available stays greyed out. Ask an admin, or untick those units. See Users & Roles.
An order now shows a conflict
An order now shows a conflict
Its item was left without a unit, because you chose “Leave the item without a unit” or no other unit was free. Open the order and assign it a unit. See Stock Item Conflicts.
