How to Create an Automated Rental Agreement Workflow in Wix

This is a step-by-step guide on how to set up a semi-automated rental agreement process for customers to sign online when placing an order on your Wix website with the TWICE Rentals app. This solution is commonly used by equipment rental businesses and similar industries where it’s essential to ensure customers have formally agreed to rental terms before collecting or using the equipment. It’s especially useful in scenarios where a simple checkbox at checkout isn’t enough—and / or you need a signed agreement to meet legal or insurance requirements.

What are we building?

We’re creating a process where:

  1. A customer places a rental order on your Wix website.
  2. They automatically receive an email asking them to sign the rental agreement.
  3. The customer clicks the link in the email, fills out a form (which acts as the rental agreement), and submits it with their signature.
  4. You’re notified when the agreement is signed, and can track submissions in your Wix dashboard.
  5. You manually mark the order as "Waiver Signed" in TWICE/Wix to stay organized.

Step 1: Create the Rental Agreement Form

We’ll use a Wix Standalone Form as the rental waiver where the customer enters their details and provides a signature.

Navigate to your Wix Dashboard → Customers & Leads -> Forms & Submissions and create a new standalone form. Add paragraph text field(s) and paste the full rental agreement text here, so the customer can read it inside the form. Design the form according to your requirements and add an email (or customer name) input as well as a signature field and set both to be required, so you can identify who filled out the form.

Once the form is ready, publish it, so we can use it in the automation email we'll set up in the next step.

Step 2: Set Up the Wix Automation

We’ll use Wix Automations to send an email automatically whenever a new order is placed. Navigate in your Wix Dashboard to Automations and click "+ New Automation"

Start with a Trigger for this automation and  choose “Order Placed” followed by an Action for which you choose “Send an Email”.

Click Edit Email to design the email. Design it freely according to your brand guidelines and other requirements. Add a message asking the customer to sign the rental agreement and insert a button or link leading to the rental agreement form we've designed in Step 1

💡 Tip:

You can personalize the email with customer details by using Wix’s dynamic fields (like {{customer.name}}).

Step 3: Test the Email and Form Flow

Pretend to be your own customer and place a test order on your Wix website. You should now receive your order confirmation email followed by the rental agreement. Click the link, fill out the form, and submit it.

Step 4: View Signed Agreements

Once customers submit the form, you can view all submissions in one place: Go to Wix Dashboard → Customers & Leads → Forms & Submissions and select the Form we've set up in Step 1 to view the submissions table.

Each row shows who signed and when. You can download or export submissions if needed.

💡 Tip:

You can also set up a notification in Wix Automations to alert you whenever a form is submitted!

Step 5: Keep Orders Organized

To track which orders have signed agreements, go to Wix Dashboard → Sales → Orders. Find the relevant order and use the Tags feature to tag the order as Waiver Signed.

This helps you easily filter and manage signed vs. unsigned orders.

Important Notes

This setup doesn’t automatically block fulfillment if no waiver is signed—you’ll need to check submissions manually.

Works well for most rental businesses but may need adjustments for higher legal requirements—consult your legal team if needed!
