inventory/stock-items
Set a stock item Inactive to stop it being offered for new orders, whether a listing rents it, sells it or books it. The orders it already has keep it. Stock Item Status explains when to use Inactive, a reservation or archiving.

Prerequisites

Required permissions:
  • Create and edit stock items to change a stock item’s status (inventory:stock_item:manage). Every built-in role holds it, Member included.
See Users & Roles.
Have ready before you start:
  • The stock item’s name or code, to find it.
  • What it still has booked. Setting it Inactive leaves the orders it already has in place. To take it off them as well, archive it instead.

The walkthrough

1

Open the stock item

Open Inventory → Stock items, enter the stock item’s name or code in “Search item name or SKU”, and click its row. The stock item opens on its General tab. With more than one location, check the location selector in the top-left corner first. To change several at once, follow Bulk-edit stock items instead.
2

Choose Inactive

In the Status card on the right of the General tab, open the dropdown and choose Inactive. A dark bar appears across the top of the page with Discard and Save changes.
3

Save the change

Click Save changes in the bar. The bar closes, and the chip next to the stock item’s name reads Inactive, in red.
4

Check what it still has booked

Open the Events tab. Orders and reservations already booked on the stock item are still listed with their dates, because setting it Inactive releases none of them.

How do I know it worked?

  • The chip next to the stock item’s name reads Inactive, in red, and so does the Status card.
  • No listing offers it any more, and it is not in the list of stock items you can add to an order.
  • The orders it already had still hold it, and its Events tab lists them as before.

Troubleshooting / common pitfalls

The stock item is a Draft: its registration has not finished, and a draft’s status is not saved from this card. Finish registering it first. See Stock Item Status.
Setting it Inactive keeps the orders it already has. Put another unit on that order’s line, or archive the stock item, which releases its holds apart from a sale’s hold and a reservation with no end date. See Swap a stock item.
Listings count Active stock items only, for selling as well as renting and booking. Choose Active in the same Status card when it is ready to go back on offer. See Stock Item Status.
